Caregiver-to-Resident Ratio Calculator
Calculate the caregiver-to-resident ratio for your care facility and assess staffing levels based on care type and shift requirements.
Formulas Used
Caregiver-to-Resident Ratio:
Ratio = Total Residents ÷ Caregivers on Shift → expressed as 1 : X
Recommended Caregivers Needed:
Recommended Caregivers = ⌈ Total Residents ÷ Recommended Ratio ⌉
Staffing Gap:
Gap = Recommended Caregivers − Actual Caregivers on Shift
(Positive = understaffed; Negative = surplus)
Caregiver Hours Per Resident Day (HPRD):
HPRD = (Caregivers × Shift Hours) ÷ Total Residents
Note: Assumes one shift slot filled per day for this calculation.
Staffing Compliance (%):
Compliance = (Actual Caregivers ÷ Recommended Caregivers) × 100
Assumptions & References
- Recommended ratios are based on widely cited industry standards and regulatory guidelines; actual requirements vary by state and jurisdiction.
- Independent Living: ~1:15 (industry standard for low-acuity settings).
- Assisted Living: ~1:8 day shift; many states mandate 1:6 or better (NCAL / state ALF regulations).
- Memory Care / Dementia: Best practice 1:4–1:6 (Alzheimer's Association guidelines).
- Skilled Nursing: CMS proposed minimum of 3.48 total HPRD (2023 rule); ratio benchmark ~1:6.
- ICU / Critical Care: ANA and AACN standard of 1:1–1:2 patients per nurse.
- Pediatric Care: AAP / NAPNAP guideline of ~1:3–1:4.
- HPRD benchmarks are approximate; CMS uses separate RN and total nurse aide HPRD thresholds for SNFs.
